The need for such a solution depends less on the size of the company than on the complexity of its equipment fleet. An SME may benefit from using software if its equipment is shared among multiple teams, if it regularly wastes time searching for it, if it makes duplicate purchases, or if it has to manage numerous maintenance deadlines. The project can start on a small scale. It’s often enough to digitize the most critical assets, clarify responsibilities, and measure results. If the time spent searching for equipment, losses, and missed maintenance appointments decrease, the solution can be gradually expanded. Software is therefore not reserved for large corporations: above all, it must be tailored to the SME’s needs, budget, and work methods.

GPS tracking is particularly useful for valuable assets that are moved outdoors, such as vehicles, machinery, trailers, or generators. It allows you to view their location, track their movements, and receive alerts when an asset leaves a defined area. It can speed up the search for equipment and improve the response to suspicious activity. GPS does, however, have its limitations. Its signal is less reliable indoors, the tracker requires power, and transmissions drain the battery. The cost isn’t justified for every small tool. A company often achieves better results by combining GPS for critical outdoor assets with QR codes or Bluetooth beacons for equipment used in close proximity.

Inventory management primarily involves taking stock of the assets held by the company at a given point in time. It indicates the quantity and presence of equipment, but does not always document their movements or use between two counts. Asset management covers a broader scope. It tracks an asset throughout its entire lifecycle: acquisition, identification, assignment, use, maintenance, repair, transfer, and retirement. Asset tracking provides the location, status, and history data that make this management possible. An inventory can therefore be a step in asset management, but it does not replace it.
