La nécessité dépend moins de la taille de l’entreprise que de la complexité de son parc. Une PME peut avoir intérêt à utiliser un logiciel si ses équipements circulent entre plusieurs équipes, si elle perd régulièrement du temps à les rechercher, si elle effectue des achats en double ou si elle doit gérer de nombreuses échéances de maintenance. Le projet peut commencer à petite échelle. Il suffit souvent de digitaliser les actifs les plus critiques, de clarifier les responsabilités et de mesurer les résultats. Si le temps de recherche, les pertes et les oublis de maintenance diminuent, la solution peut être progressivement étendue. Un logiciel n’est donc pas réservé aux grands groupes : il doit surtout être adapté aux besoins, au budget et aux méthodes de travail de la PME.

Le suivi GPS est particulièrement utile pour les actifs de valeur qui se déplacent à l’extérieur, comme les véhicules, engins, remorques ou groupes électrogènes. Il permet de consulter leur position, de reconstituer certains déplacements et de recevoir des alertes lorsqu’un actif quitte une zone définie. Il peut accélérer la recherche d’un équipement et renforcer la réaction face à un mouvement suspect. Le GPS présente néanmoins des limites. Son signal est moins fiable à l’intérieur, le traceur a besoin d’énergie et les transmissions consomment de la batterie. Le coût n’est pas justifié pour chaque petit outil. Une entreprise obtient souvent de meilleurs résultats en combinant le GPS pour les actifs extérieurs critiques avec des QR codes ou des balises Bluetooth pour le matériel utilisé à proximité.

L’inventaire consiste principalement à recenser les biens détenus par l’entreprise à un moment donné. Il indique la quantité et la présence des équipements, mais ne documente pas toujours leurs mouvements ni leur utilisation entre deux comptages. La gestion des actifs couvre un périmètre plus large. Elle suit le bien pendant tout son cycle de vie : acquisition, identification, affectation, utilisation, maintenance, réparation, transfert et retrait. Le suivi des actifs fournit les données de localisation, de statut et d’historique qui rendent cette gestion possible. Un inventaire peut donc être une étape de la gestion des actifs, mais il ne la remplace pas.
